Support the Growth of our Community
At Haida Gwaii Recreation (HG Rec), we provide programs in various rented venues across the island. Our aim is to make program delivery as seamless as possible for instructors while ensuring programs are accessible and sustainable for the community.

We levy a 15% administration fee on all programs, which covers:
- Service Budgets & Planning Coaching: We guide you through designing, budgeting, and planning your program to meet cost-recovery goals.
- Venue Rentals: We handle booking and covering costs for spaces needed to host your program. We pay this directly so you don't have to.
- Marketing Support: We promote your program via Facebook/Instagram ads, printed posters, and other channels to help attract participants. We use both free/paid ads.
- E-Commerce/Payment Processing: We manage all participant registrations and payment processes, covering credit card fees (~2.9% + $0.30/transaction).
- WCB Coverage: We ensure you're covered under WorkSafeBC (0.7% of instructor pay)*.
- Insurance: Your program is covered under our $5 million Commercial General Liability policy, often a rental requirement for venues.
- Bookkeeping and Admin: We manage bookkeeping, participant communication, incidentals (e.g., illness cancellations), and other administrative tasks to keep your program running smoothly.
- Equipment: for most programs, we have access to equipment like yoga mats, fitness equipment, or otherwise to support your programs. If we do not have equipment, more time and consideration may be required to purchase within your program budget (comes from revenues) or we may consider applying for grant funding.
Here’s how it works:
- Program Costs: We calculate all program costs, including materials, supplies, your wage, venue rental, and the HG Rec administration fee.
- Cost-Recovery Budgeting: Using this information, we design, budget, and market a "cost-recovery" program to ensure minimum participant numbers are met to break even and ensure you’re paid.
- Participant Fees: Once participant numbers exceed the minimum required, anything above minus the 15% admin fee, is paid to you up to the class maximum.
- Seasonal Adjustments: We scale back regularly scheduled programs during summer (focusing on summer camps) and do not run programs over the winter holiday break.
- Submission Deadlines:
- February 1st for Spring/Summer programs
- August 1st for Fall/Winter programs
- December 1st for Winter/Spring programs
