Registered Programs

Yoga & Fitness Programs

  • A full refund, less any applicable program supply fees, will be issued if the withdrawal request is received at least 72 hours prior to the first session, in writing to Haida Gwaii Recreation. If there is a waitlist, HG Rec will offer to the first on the list, who will have 12 hours to purchase the ticket before offering to the next on the waitlist.

  • A full refund with 20% cancellation fee will be issued if the withdrawal request is received after the 72-hour deadline but before the first session, in writing to Haida Gwaii Recreation.

  • No refunds will be permitted after this period.

  • If a waitlisted participant can fill the spot before the program starts, a full refund may be issued at the discretion of Haida Gwaii Recreation, without cancellation fee. 

  • If a class is cancelled, make-up classes have been an option. HG Rec will only offer make-up classes on the same day of the week and time as the original booking. Otherwise, refunds will be issued to all participants at the end of the program. 

Art Programs & Workshops

  • A full refund, less any applicable program supply fees, will be issued if the withdrawal request is received at least 10 business days (2 weeks) prior to the session, in writing. If there is a waitlist, HG Rec will offer to the first on the list, who will have 24 hours to purchase the ticket before offering to the next on the waitlist.

  • Due to the extensive preparation required for these programs, no refunds will be issued after this period.

  • Find-your-own-replacement: After the 2-week deadline, registrants will not receive a refund. However, they may have their spot filled by a friend or community member if they provide advance notice to Haida Gwaii Recreation and the instructor. Haida Gwaii Recreation is not responsible for managing this; however, if there is a waitlist, we may be able to support if given at least 72hr notice.

  • No refunds will be permitted for illness or any other reason after the deadline.

  • If a waitlisted participant can fill the spot before the program starts, a full refund may be issued at the discretion of Haida Gwaii Recreation.

Training & Education (Includes Personal Training and First Aid)

  • A full refund, less any applicable program supply fees, will be issued if the withdrawal request is received at least 10 business days (2 weeks) prior to the session, in writing. If there is a waitlist, HG Rec will offer to the first on the list, who will have 24 hours to purchase the ticket before offering to the next on the waitlist.

  • Due to the planning required for these programs, no refunds will be issued after this period.

  • Find-your-own-replacement: After the 2-week deadline, registrants will not receive a refund. However, they may have their spot filled by a friend or community member if they provide advance notice to Haida Gwaii Recreation and the instructor. Spring Break or Summer Day Camps & Youth Programs

  • A full refund, less any applicable program supply fees, will be issued if the withdrawal request is received at least five (5) calendar days prior to the start of the program. If there is a waitlist, HG Rec will offer to the first on the list, who will have 24 hours to purchase the ticket before offering to the next on the waitlist.

  • No refunds will be permitted after this period.

  • If a waitlisted participant can fill the spot before the program starts, a full refund may be issued at the discretion of Haida Gwaii Recreation.

  • Illness During Camp/Program: If a child becomes sick while attending a camp, guardians will be notified by Haida Gwaii Recreation immediately and must be picked up. Pro-rated refunds will be issued at the end of the camp. 

One and Two-Day Programs, Day Camps

  • A full refund, less any applicable program supply fees, will be issued if the withdrawal request is received at least five (5) calendar days prior to the start of the program.

  • No refunds will be permitted after this period.

  • If a waitlisted participant can fill the spot before the program starts, a full refund may be issued at the discretion of Haida Gwaii Recreation.

Refund Processing

  • Cheque Refunds (for cash, debit, or cheque transactions) are processed by the Accounting Division and require ten (10) working days to complete after receiving the cheque requisition. Refund cheques will be mailed to the original payer.

  • Credit Card Refunds must be issued to the same credit card used for the original purchase.

  • No account credits will be issued at this time.

  • For all refund requests, please contact Haida Gwaii Recreation administration as soon as possible to ensure timely processing.

Compassionate or Medical Refunds

  • In exceptional cases, Haida Gwaii Recreation may offer refunds for medical or compassionate reasons.

  • Requests must be made in writing prior to the class/course and may need to include appropriate documentation (e.g., a doctor's note or other supporting evidence) if they come after the program.

  • If approved, a pro-rated refund may be issued based on the remaining sessions.

  • A 20% cancellation fee may still apply at the discretion of Haida Gwaii Recreation.

  • Refunds for medical or compassionate reasons will not be issued for Art Programs & Workshops due to preparation and material costs.

Exceptions

  • Without notice, Haida Gwaii Recreation may alter this refund policy to comply with emergency directives from Provincial or Federal Authorities.
